Job Description

Our client, an established organization in the oil & gas industry, is seeking a HR Benefits Coordinator to join their team. This role is responsible for coordinating the day-to-day administration of employee benefit programs and supporting related HR processes, including benefits enrollment, leave administration, and vendor invoice reconciliation.

Responsibilities:

  • Coordinate the administration of employee benefit programs, including medical, dental, vision, life insurance, disability, wellness, and voluntary benefits.
  • Process benefit enrollments, qualifying life event changes, beneficiary updates, and benefit terminations in HR systems.
  • Assist employees with benefit enrollment processes and benefit-related questions.
  • Coordinate new hire benefits enrollment and support annual open enrollment activities.
  • Maintain accurate benefits records and employee documentation.
  • Work with Payroll to ensure accurate benefit deductions and enrollments.
  • Assist in resolving routine employee and vendor benefit issues.
  • Coordinate the distribution and collection of benefit forms and supporting documentation.
  • Assist with leave of absence administration, including FMLA, disability, parental leave, and personal leave tracking.
  • Coordinate required leave documentation with employees, managers, Payroll, and third-party administrators.
  • Maintain leave records and monitor leave status updates.
  • Support return-to-work documentation and communication processes.
  • Serve as a point of contact for employee benefit inquiries and requests.
  • Distribute employee communications related to benefits programs, wellness initiatives, and enrollment activities.
  • Support benefits meetings, employee education sessions, and new hire orientation.
  • Assist with preparing benefit materials, guides, and employee resources.
  • Ensure employees know how to access benefit vendors and available resources.
  • Enter and maintain employee benefits information within HRIS and payroll systems.
  • Verify employee data accuracy and update records as needed.
  • Generate routine enrollment and benefits reports.
  • Maintain confidential employee files and records in accordance with company policies.
  • Support data audits and benefits reconciliation activities.
  • Coordinate vendor meetings, employee appointments, and benefit-related communications.
  • Prepare materials for open enrollment, employee meetings, and compliance reviews.
  • Assist with benefits audits by gathering required documentation.
  • Prepare the payment request forms for all benefit vendors.
  • Provide general administrative support for HR Operations projects and initiatives.
  • Perform other duties as assigned.

Requirements:
  • Associate degree in Human Resources, Business Administration, or related field preferred.
  • 1-3 years of experience in benefits administration, HR coordination, payroll support, or an administrative role.
  • Basic understanding of employee benefits administration and HR processes.
  • Experience using HRIS or payroll systems preferred.
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • High school diploma or equivalent required.
  • Experience with ADP Workforce Now or similar HRIS/payroll systems preferred.
  • Experience in manufacturing, refining, or industrial environments required
