Job Description
An innovative company in the upstream oil & gas industry specializing in seismic data is seeking a Payroll & Billing Specialist to join the team. The ideal candidate is detail-oriented, deadline-driven, discreet with confidential information, and comfortable working across departments in a small-to-mid-sized business environment. The Payroll & Billing Specialist is responsible for supporting both the payroll and accounting functions.

Type of Position: Direct Hire
Responsibilities:
- Process payroll accurately and on schedule, including earnings, deductions, PTO, bonus, commission, and other pay-related items as applicable.
- Maintain employee payroll records, tax withholding information, direct deposit details, benefit deductions, garnishments, and other payroll-related data.
- Coordinate with Payroll and Benefits Manager on new hires, terminations, status changes, wage changes, benefit deduction changes, leave matters, and employee payroll and benefit questions.
- Review payroll inputs for completeness and accuracy before submission and assist with payroll reconciliations after processing.
- Support payroll compliance activities, including record retention, internal documentation, and year-end payroll reporting support.
- Respond professionally and confidentially to employee payroll inquiries and help resolve discrepancies in a timely manner.
- Prepare and distribute client invoices in accordance with contract terms, purchase orders, billing instructions, and supporting documentation. Prior to issuing an invoice, a detailed review of prior sales, related contracts, marketing notes and client service notes is required in order to verify client information, pricing, sales tax, payment terms and other details.
- Monitor invoice status, resolve billing discrepancies and coordinate client requests by collaborating with the accounting, client services and marketing teams.
- Perform other accounting, administrative, or payroll duties as assigned or as business needs require.
Requirements:
- 5+ years of payroll processing and/or client billing experience, preferably in a small-to-mid-sized company environment
- Experience working with confidential employee information and financial records
- Strong working knowledge of Microsoft Excel and comfort using payroll, HR, and accounting systems
- Familiarity with commission, bonus, or incentive-related payroll inputs
- Experience reading contracts, purchase orders, or billing instructions to determine invoice requirements
- Associate or bachelor's degree in accounting, finance, business administration, HR, or a related field preferred
- High attention to detail and commitment to accuracy
- Strong organizational skills with the ability to manage recurring payroll and billing deadlines
- Discretion and sound judgment when handling confidential employee and financial information
- Clear written and verbal communication skills with employees, managers, customers, and internal stakeholders
- Ability to work independently while collaborating effectively with HR, accounting, client services, and sales/marketing teams
- Problem-solving mindset with willingness to research discrepancies and follow issues through to resolution
