Job Description
Our client, a professional services organization, is seeking an Executive Assistant to join their team. This role provides high-level administrative support to senior leadership, primarily supporting the CEO, and involves managing complex calendars, travel arrangements, meeting coordination, and handling sensitive information in a fast-paced environment.

Type of Position: Direct Hire
Responsibilities:
- Manage complex calendars, schedule internal and external meetings, resolve conflicts, and ensure executives are prepared with agendas, background materials, and clear objectives.
- Support timely, polished communication with clients and stakeholders; coordinate meetings, deliverables, follow-ups, and relationship-management activities.
- Arrange domestic and international travel, prepare detailed itineraries, respond to changes, and complete accurate expense reports in accordance with company policies.
- Organize leadership, client, and team meetings; prepare materials, capture decisions and action items, and monitor follow-through.
- Draft, edit, proofread, and format emails, presentations, reports, proposals, and other confidential materials.
- Monitor deadlines, commitments, and incoming requests; identify risks, escalate issues appropriately, and help leaders maintain focus on high-priority work.
- Maintain organized records, contact lists, files, and sensitive information using confidentiality and sound document management practices.
- Partner with administrative colleagues and other company functions such as finance, HR, and IT to coordinate activities.
- Support company events, leadership off-sites, recruiting activities, and special projects from planning through completion.
- Identify practical ways to improve administrative workflows, communication, and executive effectiveness.
- 5+ years of executive-level administrative support experience, preferably in a professional services setting such as consulting, legal, accounting, or finance.
- Demonstrated ability to manage complex calendars, travel arrangements, expenses, meetings, and sensitive/confidential information.
- Excellent written and verbal communication skills, including business-writing and proofreading expertise.
- Advanced proficiency with Microsoft 365 applications (Outlook, Word, PowerPoint, Excel, Teams).
- Strong organizational skills and the ability to prioritize effectively under deadlines.
- Sound judgment, professionalism, tact, and discretion when handling sensitive matters.
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Fully on-site availability Monday through Friday and flexibility to occasionally work outside normal hours.
- Willingness to travel domestically a few times per year.
- Ability to work well in a team environment and maintain professional appearance and demeanor.
