Job Description
Our client, an established organization in the executive search sector, is seeking a Controller to join their team. This role involves full-desk accounting for multiple entities, overseeing payroll, financial reporting, and ensuring compliance with regulatory requirements in a fast-paced, growth-oriented environment.

Responsibilities:
- Manage full-desk accounting for all entities supported, including AR, AP, and monthly close processes, ensuring accuracy, timely reconciliation, and adherence to GAAP.
- Maintain separate books for each partner's equity-holding entity, recording allocations, contributions, and partner payments, and reconciling investment to partnership capital accounts.
- Oversee general ledger activities, preparing and reviewing accrual-basis and cash-basis books, including accruals, prepaids, and fixed assets, with a goal to close books by the 10th of each month.
- Reconcile bank, credit card, and balance sheet accounts monthly and prepare financial statements for each entity, with consolidated views as needed.
- Manage accounts payable and receivable processes, including vendor invoice processing, expense report approval, invoicing for retained search fees, rebilling client expenses, and tracking collections.
- Oversee payroll processing by preparing and delivering payroll via outsourced provider, including salaries, commissions, and partner wage adjustments, and reviewing payroll registers before funding.
- Calculate quarterly commissions for recruiters and partner management fee payments, with collaboration from leadership for approvals.
- Ensure timely remittance and compliance with payroll taxes, review W-2s, and prepare vendor 1099 forms, reconciling payroll to the ledger while maintaining confidentiality.
- Prepare monthly financial reports, including cash flow analysis and forecasts, flagging funding requirements early, and building annual budgets with variance analysis and ad hoc reports for decision-making.
- Act as primary liaison with tax firms, delivering complete tax packages and ensuring all entities maintain good standing with filings, franchise taxes, and renewals.
- Support system internal controls, documenting procedures, sharing system access with leadership, and controlling access to sensitive financial information.
- Maintain accurate partner capital accounts, allocate shared costs, settle intercompany activity, and ensure correct flow of K-1s into tax and partnership books.
- Monitor and manage entity insurance renewals, vendor contracts, and leases, ensuring compliance and proper recordkeeping.
Requirements:
- Bachelor's degree in accounting or finance.
- 10+ years of full-cycle accounting experience in a professional services firm, preferably in services industry sectors.
- Proven experience overseeing outsourced payroll and payroll tax compliance.
- Strong knowledge of GAAP, account reconciliation, and month-end close procedures.
- Advanced skills in QuickBooks Online and Excel.
- CPA certification or progress toward licensure is preferred.
- Experience with partnership accounting including capital accounts, allocations, and K-1 processing.
- AI fluency is a plus, especially with tools related to commission tracking and credit reporting.
