Job Description

A thriving company is looking for an HR Coordinator to support a short-term compliance project ensuring employment eligibility documentation is complete, accurate, and up to date. The ideal candidate has hands-on experience with I-9 verification and/or employee onboarding, knows what documentation is acceptable beyond just passports, and is a highly organized, proactive communicator who's comfortable with repeated outreach to coordinate with employees across the organization.

Salary + Additional Benefits:

Location: Austin, TX
Type of Position: Temporary (2 week assignment, with an opportunity to extend)

Responsibilities:
  • Reach out to employees on an assigned list (following an initial heads-up email from the company) to schedule time to complete or update I-9 documentation.
  • Conduct verification calls or meetings to review, collect, and confirm acceptable identity and employment eligibility documents.
  • Re-verify existing I-9s that are nearing expiration or require updated documentation.
  • Accurately complete and file I-9 forms in compliance with federal requirements.
  • Track progress and maintain organized records across a large volume of employee files.
  • Communicate proactively and persistently, following up multiple times as needed to schedule or complete documentation.
  • Coordinate scheduling across employees using both Google and Outlook calendar systems.
  • Create and organize files in Google Drive as needed.
  • Perform other duties as assigned.

Requirements:
  • HR coordinator or administrative background, with hands-on experience in I-9 verification and/or employee onboarding strongly preferred
  • Working knowledge of acceptable I-9 documentation and how to properly complete Form I-9
  • Highly organized with strong attention to detail
  • Confident, proactive communicator who is comfortable with repeated outreach to schedule and follow up with employees
  • Comfortable working across multiple systems and calendar platforms
  • Familiarity with Slack, UKG, and Google Drive is a plus (UKG experience helpful for E-Verify)
