Job Description

A well-established national experiential marketing agency is looking for a Program Manager to oversee and execute a portfolio of related projects within the organization. The ideal candidate is a team-oriented leader with excellent project management abilities, a high degree of professionalism, and a customer-focused attitude. Working collaboratively, the new leader will enhance business efficiency through effective project management, strategic direction, and seamless coordination while aligning with the organization's strategic goals and meeting client determined KPIs.

Responsibilities:
  • Manage planning, coordination, and successful execution of program and in-field activations.
  • Manage logistics, onboarding, and allocation of resources.
  • Responsible for managing program assets and inventory.
  • Lead communication with key stakeholders, including senior management and clients.
  • Support development of clear program strategy and roadmap in alignment with the organization's objectives, program scope, goals, and deliverables, ensuring they meet stakeholder expectations and agency brief.
  • Prioritize and allocate resources to projects within the program, optimizing resource utilization and maximizing program efficiency.
  • Ensure coverage objectives achieved against agreed call rate targets and frequencies.
  • Identify resource constraints and take corrective actions to prevent delays or bottlenecks.
  • Manage program assets and ensure resources always have inventory and tools required to effectively perform their duties.
  • Handle logistics, resource scheduling, and oversee execution of in-field activations for program.
  • Maintain open and transparent communication with stakeholders, including project teams, senior management, and clients.
  • Provide regular program status updates, reporting, and address any issues or concerns promptly.
  • Monitor and report on developments in consumer trends and consumer behavior within the program related channels to identify opportunities or risks to our current program.
  • Identify, manage, and proactively monitor potential program risks and develops mitigation strategies.
  • Ensure that all projects within the program meet quality standards and align with program goals.
  • Implement quality control/compliance processes and conduct regular program-wide assessments.
  • Support upkeep of program budget with timely tracking and submission of expenditures, ensuring adherence to financial targets.
  • Identify cost-saving opportunities and optimize program costs.
  • Maintain and oversee accurate program documentation, including program plans, program specific BA software and client reports.
  • Provide regular program performance reports to stakeholders.
  • Establish and maintain strong working relationships with key external stakeholders to solidify the company as a preferred vendor/supplier/business partner.

Requirements:
  • 4-8+ years of experience in project management, including leading and managing projects of varying complexity – preferably within one-to-one brand engagement  
  • A Bachelor’s Degree is preferred
  • Extreme attention to detail and excellent organizational and administrative skills required
  • Strong leadership, project management skills, and the ability to collaborate with diverse teams and stakeholders to achieve project goals
  • The ability to work independently, prioritize work assignments, complete projects to meet deadlines, remain flexible on multiple simultaneous projects, and achieve results in a fast-paced, high-pressure work environment required
  • Highest level of professionalism and positive attitude with customer service mindset when working with both internally and external stakeholders required
  • Ability to foster strong working relationships with colleagues, suppliers, and industry partners in support of our company goals
  • Strong written and oral communication skills required
  • Capacity to work outside normal business hours and on weekends to meet the needs of events
