Job Description
A well-established organization in the energy sector is seeking a highly organized and service-oriented Office Manager to support daily office functions and provide executive assistance in a dynamic, fast-paced setting. This role is ideal for a professional with excellent communication and organizational skills, a proactive mindset, and the ability to manage multiple responsibilities efficiently.
Salary: $75,000-$85,000
Location: Houston, TX
Type of Position: Direct Hire
Responsibilities:
- Provide daily administrative and personal support to executive leadership, including managing expenses and occasional errands.
- Welcome visitors, manage front-office hospitality, and ensure a professional and friendly environment.
- Handle incoming mail and prepare outgoing shipments (e.g., FedEx).
- Oversee daily office needs such as coffee preparation, lunch orders and setup, and breakroom cleanliness.
- Monitor and restock kitchen and office supplies weekly and as needed.
- Maintain the cleanliness and functionality of common areas, including the conference rooms and breakroom.
- Coordinate travel arrangements and accommodations.
- Monitor and manage general office voicemail and forward messages appropriately.
- Organize and file accounts payable invoices and other key documents.
- Provide general administrative support to various internal teams (e.g., scheduling, reporting, expense management).
- Schedule and coordinate repair services and maintenance for the office space.
- Perform other general office duties and special projects as assigned.
Requirements:
- Minimum of 5 years of experience in office management or a similar administrative support role
- Strong decision-making abilities and reliability in following through on tasks
- Proficient with Microsoft Word and Excel; experience with QuickBooks is a plus
- Some college coursework preferred
- Professional presence with excellent interpersonal and communication skills
- Availability to work full-time, Monday through Friday, 8:00 AM – 5:00 PM
