Job Description

A rapidly expanding organization in the maritime industry is seeking an Office Assistant to support daily operations and contribute to a professional, welcoming workplace environment. The ideal candidate will be proactive, detail-oriented, and equipped with strong organizational and interpersonal skills. Working closely with management, this team member will enhance efficiency by overseeing reception, coordinating with vendors and service providers, and handling administrative tasks while ensuring the office remains clean, well-supplied, and collaborative.

Salary: $22-$25/hr
Location: Houston, TX
Schedule: 8 am – 12 pm, Mon-Thurs (additional hours as needed)
Type of Position: Direct Hire – Part Time

Responsibilities:
  • Serve as the first point of contact by welcoming and assisting visitors and clients.
  • Coordinate social and team-building events for the office.
  • Manage relationships with vendors, contractors, and service providers to ensure smooth office operations (e.g., cleaning, building maintenance, facilities support).
  • Monitor and maintain office and kitchen supplies, ensuring timely ordering and receipt of deliveries (e.g., general supplies, refreshments, first aid items).
  • Conduct regular walkthroughs to identify and resolve or escalate any issues within the office.
  • Organize and support internal and external meetings, including greeting attendees and arranging refreshments when needed.
  • Maintain a tidy, professional workspace by ensuring meeting rooms and communal areas are properly cared for and service providers meet required standards.
  • Arrange couriers for both domestic and international deliveries, and manage incoming and outgoing mail.
  • Provide assistance with expense processing when required.
  • Support travel and accommodation bookings, ensuring cost-effectiveness and compliance with company guidelines.
  • Carry out additional tasks as needed to support the efficient running of the office.

  • Strong attention to detail with excellent organizational skills
  • Effective communication and interpersonal skills
  • Team-oriented with the ability to build and maintain positive relationships at all levels
  • Proficiency in Microsoft Office and general IT applications.
