Job Description

One of the world’s leaders in advanced offshore & onshore technology is looking for an Executive Assistant to perform diversified and confidential executive administrative duties to support its day-to-day office operations. This is an exciting opportunity for a personable self-starter who knows general office functions and demonstrates reliability & punctuality. Working closely with the President, the new assistant will ensure efficient office operations by executing all administrative activities with a high level of confidentiality, accuracy, and professionalism while upholding organizational values.

Location: Houston, TX

Type of Position: Direct hire

Responsibilities:
  • Manage a high volume of scheduling requests.
  • Coordinate logistics for meetings, travel, and events.
  • Responsible for a heavy calendar maintenance using Outlook; work with other EAs to coordinate and schedule meetings.
  • Manage heavy travel arrangements – private and commercial.
  • Perform personal assistant duties as needed
  • Help support company events as required, possibly work outside of normal working hours.
  • Review incoming correspondence and documents for information or action required.
  • Liaise with clients, contractors, vendors, etc.
  • Prepare and reconcile expense reports.
  • Organize and maintain confidential files and records.
  • Coordinate with office admin team to ensure proper coverage for office.
  • Ensure that requests for action or information are relayed to the appropriate staff member; as needed; interpret request and help implement action.
  • Plan work and establish priorities to ensure work is completed on schedule while keeping executive team on task with critical matters.
  • Assist Business Development Coordinator with presentations, proposals, schedules, events, etc.
  • Represent the company in a positive and professional manner.

Requirements:
  • Bachelor’s degree or equivalent work experience
  • 3+ years of executive administrative experience
  • 7+ years of administrative support
  • Must be a responsible, personable self-starter with excellent communication skills (written and verbal)
  • Ability to prioritize and work within strict time constraints
  • Capacity to work with multiple team members, personalities, and cultures
  • Ability to manage multiple projects effectively and professionally
  • Ability to interact with staff (at all levels) in a fast-paced environment
  • High level of professionalism and confidentiality
  • Proactive, resourceful, and efficient
