Job Description

A well-established waterproofing and restoration/general contracting company is seeking an Executive Administrative Assistant to deliver efficient and organized secretarial support. The ideal candidate is highly organized and possesses a background in the construction industry.
                                               
Salary + Additional Benefits:
  • $28-38/hr + Discretionary Bonus

Location: Buda, TX
Type of Position: Temp-to-Hire

Responsibilities:
  • Perform office duties: receiving calls, taking messages, and routing correspondence, as well as keeping the office tidy and stocked.
  • Handle requests/queries appropriately and professionally.
  • Maintain communication within the office.
  • Data entry, digital filing/upkeep, scanning, maintaining digital organization and processes.
  • Generate proposals from Estimator and generate purchase orders for all subcontractors.
  • Manage human resources, weekly payroll and payroll taxes, accounts payable/receivable.
  • Responsible for monthly reconciliation of bank accounts and credit card accounts.
  • Enter/scan invoices and receipts.
  • Manage billings and collections.
  • Prepare/pay monthly, quarterly, and annual payroll taxes (940, 941, SUTA, & FUTA).
  • Prepare and file workman's compensation report – quarterly and annually.
  • Prepare, generate, and file yearly 1099s and W-2s.
  • Communicate with clients on a case-by-case basis.
  • Project start-up on approval and close-outs.
  • Communicate with insurance for COIs, policy additions/deletions, P&P bonds, and maintain files.
  • Assemble submittal packages.
  • Obtain permits.
  • Manage AIA Billing.
  • Work closely with the Owners to learn the business and methodology.

Requirements:
  • Administrative experience within the construction industry; 5 years preferred
  • Typing Speed: 65-70 WPM (Preferred; Minimum 50 WPM)
  • MS Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, QuickBooks: Enterprise, QuickBooks Time, LastPass, DropBox
  • English required; Spanish preferred
  • Microsoft Office: 5 years preferred
  • QuickBooks: 5 years preferred
  • Can work independently and prefers to work alone
  • Highly organized, detail-oriented, timely, and dependable
  • Quick learner, tech-savvy, patient, trustworthy, adaptable, flexible, and excellent at multi-tasking
  • Strong organization and time management skills
  • Detail-oriented and able to multi-task effortlessly
  • Ability to problem-solve, cross-check, and proofread their work
  • Ability to follow existing procedures (if the associate is out on vacation, the Owner needs to be able to step in and take over without wondering what their process is)
  • Strong written and verbal communication
