Job Description

A well-established, leading investment management firm is seeking a highly organized and detail-oriented Client Services Specialist to support client meeting preparations and administrative tasks. This role requires strong communication skills, a process driven mindset and a highly organized nature. Working with autonomy, this role will play a pivotal part in maintaining the firm's operational efficiency through meticulous precision and effective coordination while ensuring seamless client interactions and contributing to the overall success of the team.
                               
Salary + Additional Benefits:

Type of Position: Direct Hire


Responsibilities:
  • Work closely with senior leadership on meeting prep assistance, updating information and communicating with clients to obtain needed information.
  • Build client meeting prep which may include:
    • Road Map
    • In force ledgers
    • Balance Sheet
    • Buckets
    • NMCIR
    • Cost Basis
    • ENV2 Report
    • Reach out 1 week before meeting
    • Meeting Agenda
  • Enter data into planning software.
  • Maintain calendar and schedule follow-up appointments.
  • File new statements, account forms, and other insurance/investment-related materials.
  • Gather information for registered representative’s meeting with clients/prospects (prospectuses, annual reports, Morningstar reports) and enter data into planning software.
  • Run performance reports, provide analyses and generate agendas for meetings.
  • Provide general administrative support.

Requirements:
  • 2+ years of administrative support or client services, preferably in the financial services and/or insurance industry
  • Excellent oral and written communication skills
  • Familiarity with Microsoft applications and data entry and information retrieval software
  • Demonstrated organizational and time management skills and ability to multitask, set priorities and meet deadlines
  • Must be comfortable in a client facing role
  • Strong attention to detail with the ability to work with a high degree of accuracy
  • Ability to work in a fast-paced environment
  • Ability to work both independently and on a team
  • Ability to maintain confidentiality
