A reputable organization in the commercial real estate sector is looking for an Assistant Property Manager to assist with property operations and tenant relations. The ideal candidate is a proactive and detail-oriented individual with experience managing properties with multiple tenants. In this collaborative role, the new team member will help improve operational efficiency by coordinating maintenance, handling documentation, and supporting financial processes, all while ensuring tenant satisfaction, upholding compliance, and maintaining precise records.

Responsibilities:
  • Oversee and manage the operations, upkeep, and enhancement of commercial properties.
  • Foster and maintain strong relationships with tenants and service providers.
  • Collaborate with maintenance and service teams to ensure tasks are completed promptly.
  • Verify tenant and service provider documentation for compliance.
  • Ensure properties adhere to applicable regulations and internal standards.
  • Oversee rent collection processes, address tenant concerns and enforce occupancy guidelines.
  • Ensure invoices are processed in line with accounting protocols and proper documentation.
  • Facilitate tenant transitions, including move-ins and move-outs.
  • Obtain and follow up on aging reports and overdue payments for property management.
  • Organize and maintain property documentation, including leases and agreements, in an efficient manner.
  • Support with lease summaries and key document reviews.
  • Verify that tenant-related billing is accurate and in accordance with policies.
  • Assist in the preparation of annual budget estimates and monthly financial reporting.

Requirements:
  • 2+ years of experience in a commercial real estate setting.
  • High adaptability and comfort with changes in daily tasks.
  • Capacity to manage multiple tasks simultaneously, work under tight deadlines when necessary, and effectively prioritize and adjust tasks as needed.
  • Strong skills in organization, communication, and analysis.
  • Self-motivated and proactive, demonstrating sound judgment and problem-solving capabilities.
  • Collaborative team member with the ability to work independently, adapt, and handle multiple responsibilities.
  • Proficient in professional and effective communication, both written and verbal, with stakeholders.
