Job Description

An established organization in the commercial real estate sector is seeking a skilled Administrative Assistant/Office Manager to oversee front office functions and provide comprehensive administrative support. The successful candidate will be a proactive, detail-focused professional with strong organizational and communication abilities. In this collaborative role, the new team member will enhance operational efficiency by coordinating administrative tasks, supporting internal departments, and managing interactions with external partners—all while maintaining a professional, welcoming office environment and effectively handling multiple priorities.

Location: Austin, TX
Position Type: Direct Hire

Key Responsibilities:
  • Provide excellent customer service and manage tenant relations.
  • Serve as a primary point of contact for tenants, vendors, and service providers.
  • Coordinate and oversee third-party maintenance services.
  • Perform typing, data entry, and general administrative duties.
  • Manage a multi-line phone system (minimum of 16 lines).
  • Utilize Microsoft Word, Excel, and Outlook at an advanced level.
  • Assist internal brokers with daily administrative needs, including preparation of correspondence, invoices, lease documents, and contracts.
  • Greet and assist visitors at the front desk.
  • Handle incoming and outgoing mail processes.
  • Coordinate and schedule deliveries.
  • Manage inventory and ordering of office and kitchen supplies.

Qualifications:
  • Minimum of 3 years of experience in a receptionist or administrative support role
  • Bilingual in English and Spanish preferred
  • Real estate license preferred
  • Ability to manage multiple tasks in a fast-paced environment and adapt to changing priorities
  • Excellent organizational, interpersonal, and written/verbal communication skills
  • Self-motivated team player with strong problem-solving and decision-making abilities
