Location:Â Houston, TX
Type of Position: Direct Hire
Responsibilities:
- Oversee duties and functions relevant to the assigned Executive Director on a day-to-day basis.
- Responsible for the management of the special projects as identified and/or associated with the Executive Director.
- Perform routine administrative tasks, directly supporting the Senior Pastor and Executive Director.
- Schedule appointments and receive visitors for the Senior Pastor and Executive Director.
- Take, screen, and return the Senior Pastor and Executive Director’s telephone calls.
- Coordinate the Senior Pastor and Executive Director's appointment calendar.
- Coordinate all travel arrangements and speaking engagements for the Senior Pastor and Executive Director.
- Accompany the Executive Director to Committee and Ministry Team meetings, Staff Meetings, church functions or receptions, assisting in tasks related to the Executive Director.
- Transcribe, edit, and disseminate Senior Pastor and Executive Director's presentations and other messages for the church and any other organizations that support the Executive Director.
- Organize and maintain all correspondence.
- Prepare Senior Pastor and Executive Director's correspondence, including routine and confidential.
- Prepare and maintain the Senior Pastor’s Office.
- Keep Executive Director informed of crises/problems within the Church organization and/or membership.
- Perform Executive administrative tasks, directly affecting the Senior Pastor and Executive Director’s office.
- Serve as liaison between Senior Pastor and Executive Director’s Office and external organizations.
- Conduct research; collect and analyze data to prepare reports and documents.
- Manage Church calendar.
- Schedule appointments and receive visitors for Counseling Sessions.
- Send Mass emails to the congregation.
- Perform other duties as assigned.
Requirements:
- Proven experience in administrative roles, preferably in a dual-function capacity
- Proficiency in office management software (e.g., Microsoft Office Suite, Adobe Acrobat, scheduling software, etc.)
- Excellent communication skills, both written and verbal, with a strong focus on professionalism
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
- Exceptional organizational skills and acute attention to detail
- Flexibility to adapt and work effectively under the guidance of two different supervisors
- Must be extremely efficient, well-organized, and resourceful
- Flexibility and the ability to function well in a fast-paced environment are essential—demonstrating strong planning and decision-making skills and possessing interpersonal skills to deal with many personalities
- Must have excellent written and verbal communication skills and attention to detail
- Possess exceptional clerical competence, with at least 5 years of relevant experience
