Job Description

A global design, architecture, engineering, and planning firm is looking for a Part-Time Administrative Assistant join their growing team! This is an exciting opportunity for a highly organized candidate with advanced knowledge of administrative best practices and procedures

                                                               

Salary: $24-$26/hour

Location: Dallas, TX 75201
Type of Position: Temp - at least 6 months
Hours: Tuesday-Thursday 8:30AM-5:30PM

Responsibilities:

  • Manage day-to-day workflow of the department. Require extensive contact with internal employees and external clients.
  • Input data into various information systems.
  • Provide administrative support to one or more leaders or a department, including opening and distributing mail, answering the telephone and taking messages, scheduling meetings, arranging business travel, and preparing expense reports, etc.
  • Handle frequent telephone, email, and personal contact with internal employees and external clients. 
  • Manage client contact information.
  • Provide project support by composing correspondence, proposals and agreements, project progress reports, and invoices; perform data entry and maintain project files.
  • Serve as meeting coordinator for client, departmental, and /or office meetings.
  • Provide reception relief duties.
  • Perform construction administration dues for project teams.
  • Perform other administrative duties for the department.
  • Take personal responsibility for fostering a green workplace through sustainable work practices.
  • Foster a commitment to external and internal client service.

 

Requirements:

  • Must be available to work in office Tuesday-Thursday 8:30 am-5:30 pm
  • High school diploma or equivalent required; Bachelor’s degree preferred
  • 2+ years of supporting at an administrative level
  • Experience in architecture or related professional services firm preferred
  • Advanced knowledge of administrative practices and procedures
  • Overtime may be required
  • Proficiency in MS Office, including Excel, Word, PowerPoint, and Outlook; MS Project proficiency preferred
