Job Description

A boutique investment firm is seeking a highly skilled, versatile Executive Office & Finance Administrator to provide both administrative and financial support to the firm and its Founder. This individual will play a key role in managing financial processes, capital calls, and reporting, while also handling administrative tasks and personal investment oversight. The ideal candidate is detail-oriented, self-sufficient, and thrives in an environment where they can take ownership of their work with minimal supervision.

Location: Onsite – Dallas, TX
Salary: $90,000 – $100,000 (Depends on Experience)
Position Type: Direct Hire

Responsibilities:
  • Manage daily financial operations, including QuickBooks entries, reconciliations, and financial reporting
  • Prepare wire transfers, track discrepancies, and maintain daily cash flow sheets
  • Oversee capital calls, ensuring deadlines are met, and prepare related reports
  • Coordinate with outsourced partners (e.g., accountants, advisory firms, bankers) to obtain K-1s, quarterly financials, and other documentation
  • Provide financial documentation for tax preparation and assist during tax season
  • Maintain organized office and digital files (QuickBooks, Dropbox, Excel, Word, Intuit, ClientSpace)
  • Track monthly and quarterly reports, distributions, and investment-related documentation
  • Manage email communications and follow-up with internal and external stakeholders
  • Provide administrative support for the Founder, including oversight of personal properties, insurance, and household-related payments
  • Handle personal investment reporting and record-keeping with discretion and accuracy
  • Ensure auto and property insurance policies are up to date and paid on time

Requirements:
  • 5+ years of relevant experience in executive administrative support
  • Proficiency with QuickBooks, Microsoft Excel, Word, and cloud-based file management systems
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
  • Excellent written and verbal communication skills, with a high level of discretion and judgment
  • Self-sufficient and proactive with the ability to take ownership of tasks and deliver results independently
  • Dedicated and reliable, with a track record of commitment to previous roles
  • Detail-oriented and thorough, with strong follow-through
  • Comfortable working autonomously and making decisions
  • Able to balance versatility across financial, administrative, and personal support tasks
