Job Description

A wealth advisory firm based in Houston is seeking a Client Services Associate to join the team. This position plays an integral role in delivering a high level of service to the firm's clients while supporting the firm's advisors and day-to-day operations, and is responsible for client account administration, custodial processing, client service requests, meeting coordination, and general office support. The Client Services Associate serves as an important point of contact for clients and works closely with advisors and other team members to ensure requests are handled accurately, professionally, and through completion.

Responsibilities:
  • Serve as a primary point of contact for client service requests, providing responsive and professional support.
  • Open and maintain retirement, non-retirement, trust, corporate, nonprofit, and other client accounts.
  • Prepare and process account paperwork, transfers, deposits, withdrawals, contributions, distributions, wires, ACH instructions, and other account transactions.
  • Coordinate retirement account rollovers, Roth conversions, Required Minimum Distributions (RMDs), beneficiary updates, and other account changes.
  • Assist clients with online account access, tax documents, and general account questions.
  • Maintain accurate client information and documentation within firm systems.
  • Monitor outstanding requests and custodial items through completion, proactively communicating updates to clients and advisors.
  • Support estate and beneficiary account transitions, charitable distributions, Donor Advised Funds, and other specialized client requests as needed.
  • Serve as a knowledgeable resource for Schwab account administration and custodial processes.
  • Monitor custodian notifications and resolve or escalate outstanding items.
  • Prepare documentation for client and advisor signatures and ensure completed paperwork is processed accurately.
  • Maintain required transaction, rollover, and compliance documentation.
  • Coordinate closely with advisors and internal team members to ensure client needs are handled accurately and efficiently.
  • Schedule and coordinate client review meetings and maintain accurate meeting information within the firm's CRM.
  • Answer incoming calls and welcome clients and visitors to the office.
  • Assist with client events, appreciation initiatives, meeting logistics, and occasional marketing projects.
  • Help maintain office and kitchen supplies and ensure client-facing areas remain organized and professional.
  • Provide additional administrative support to the team as needed.

Requirements:
  • 3+ years of client service, account administration, or operations experience within wealth management, an RIA, brokerage, or similar financial services environment.
  • Hands-on experience with Charles Schwab custodial platforms and account servicing required.
  • Experience opening and maintaining investment accounts and processing transactions such as transfers, distributions, contributions, wires, rollovers, or RMDs.
  • Experience with wealth management/CRM platforms is a plus.
  • Strong client-facing communication skills with the ability to provide polished, high-touch service.
  • Highly organized and detail-oriented with the ability to manage multiple client requests through completion.
  • Comfortable learning new technology, processes, and procedures in an evolving environment.
  • Strong judgment and discretion when handling confidential financial and client information.
  • Ability to work collaboratively within a small, close-knit team while independently managing assigned responsibilities.
  • No securities licenses are required.
