Job Description
A collaborative, start-up consulting practice based in West Houston is seeking an Administrative Assistant to serve as the operational center of the practice -- managing communication, priorities, and workflow on behalf of the principal across high-stakes legal and consulting matters.
The ideal candidate is a self-directed professional with sound judgment, polished communication skills, and a track record of operating with autonomy in fast-paced, high-standard environments.
Salary: $20-25/hr, DOE
Location: West Houston, TX - Onsite
Type of Position: Long Term Contract
(part-time, approximately 15-25 hours per week; role expected to expand in scope and hours over time)
Responsibilities:
- Keep information, priorities, and projects moving smoothly across the practice.
- Manage the principal's calendar, proactively identifying conflicts and organizing time effectively.
- Monitor incoming emails and communications, prioritizing items and handling routine matters as needed.
- Use sound judgment to determine what needs the principal's attention, what can be handled independently, and how messages should be communicated.
- Keep track of relationships, commitments, and follow-up items to ensure nothing falls through the cracks.
- Help maintain strong relationships by coordinating regular meetings and ensuring follow-up actions are completed.
- Communicate professionally with attorneys, executives, and technical experts on the principal's behalf.
- Look for ways to streamline processes and implement practical systems that improve efficiency over time.
- Conduct conflict checks for new business opportunities, prospective clients, and potential hires.
- Maintain records and manage documents, including overseeing the contract database.
- Track billable time across ongoing projects to ensure accurate reporting.
Requirements:
- Bachelor's degree obtained (or in progress) in English, History, or similar
- Strong written and verbal communication skills
- Proven ability to manage communications, schedules, and follow-up tasks in a fast-paced environment.
- Strong skills in Microsoft Office (Outlook, Word, and Excel) and comfort learning new systems and AI-enabled tools.
- Ability to use good judgment and make decisions independently when situations are unclear.
- Excellent written and verbal communication skills, with a professional and polished approach.
- High level of discretion, integrity, and accountability.
