Job Description
A well-established organization within the manufacturing sector is seeking a Spare Parts Administrator to manage customer inquiries, inventory accuracy, and spare parts logistics. The ideal candidate is a detail-oriented professional with strong organizational, administrative, and customer service skills. Reporting to management, this role will support inventory management, ensure timely order processing, and strengthen customer relationships.

Position Type: Temporary with potential to extend
Responsibilities:
* Deliver excellent customer service by promptly responding to orders and inquiries.
* Manage spare parts requests and handle related duties accurately.
* Maintain inventory accuracy and update records of superseded parts.
* Provide recommendations to management regarding inventory and orders.
* Process orders, arrange shipments, and ensure timely delivery of spare parts.
* Administer inventory adjustments and perform cycle counts.
* Expedite backorders as needed.
* Prepare documentation for shipments to affiliated locations.
* Maintain and generate spare parts lists, including recommendations for inventory needs.
* Input pricing and process sales orders for spare parts.
* Handle warranty claims, including sales order processing, customer notifications, and issuing credits.
* Coordinate the return of defective parts to repair centers via air freight or courier services.
* Manage repair orders, including quotes, invoicing, and follow-through.
* Perform general administrative duties such as record keeping, scanning, and filing.
Requirements:
* High school diploma or GED (or equivalent combination of education and experience).
* Strong verbal and written communication skills; bilingual preferred.
* Customer service-oriented with professional demeanor.
* Proficiency in MS Office.
* Demonstrated organizational skills and ability to multitask effectively.
* Commitment to punctuality, quality, and accuracy.
* Ability to manage multiple priorities while meeting deadlines.
* Independent problem-solving skills and initiative to take on additional responsibilities.
