Job Description
A global leader in energy logistics solutions is looking for an HR Coordinator to support the Head of HR, Americas, and HRBP in executing global initiatives while providing local employees with high-quality day-to-day support on all HR issues. This is a perfect opportunity for someone with broad knowledge of HR best practices, principles, and procedures.

Responsibilities:
- Respond to day-to-day employee requests to maintain high level of employee satisfaction with HR services; in conjunction with the HR Department, ensure that the company adheres to applicable employment laws in addressing policy and people practices; provide timely responses to external inquiries from state and federal government, insurance, disability, and 401(k) providers that pertain to current and former employees.
- Responsible for recruitment administration, including corresponding with recruiting agencies, maintaining recruitment files to ensure timely filling of positions and accurate reporting, employee on-boarding documentation, and correspondence, including HRIS systems.
- Administer compensation and benefit plans and programs and support the introduction of any new employee benefits programs, enroll employees into all insurance plans and notify 3rd party insurers when employees leave or changes are made, administer insurance claims to ensure employees are receiving maximum benefits available in a timely manner, participate in the insurance renewal process, process monthly invoices.
- Liaise with 3rd party relocation vendors, ensure accommodation is arranged for assignees and manage lease agreements, ensure assignee is complying with terms and conditions of their ex-pat or local-plus assignment, address queries raised by assignees.
- Manage incoming and outgoing mail, maintenance of employee files, preparation of general correspondence, e.g., reference letters, resignation and offer letters, letters to authorities, letters for travel purposes, actively participate in customer and internal audits.
- Responsible for coordinating all trainings for the Americas regions. This includes researching, obtaining approval by utilizing the LOA, booking and processing payment, and recording all trainings as necessary.
- Maintain accurate records of employee changes that would affect the semi-monthly payroll for all groups, including W2 changes, 401(k) loans, contribution changes, etc. During the semi-monthly payroll process, input payroll changes, obtain required approvals, and submit payroll for Inc and Shipmanagement. Process 401(k) upload twice per month for the Offshore Services group.
- Maintain and ensure accuracy of ACA records for all groups. This includes reviewing and completing reporting, coordinating with payroll provider specialist to ensure accuracy, and maintaining necessary information for reporting purposes.
- Comply with Company's policies and Code of Conduct and Business Ethics (CoBE).
Requirements:
- Bachelor's Degree
- 2 years of experience as an HR Coordinator
- Experience with SAP and/or UKG preferred
- MS Office (intermediate level), good written and verbal communication, planning/organizing, attention to detail, and internal customer relationship management
