Receptionist

Under the direction of the Senior Executive Assistant, the Receptionist main task is to provide assistance with all Corporate Executive functions and provide support to customers, guests, and vendors via telephone and in person.

Compensation: $18/hr

Description

  • Responsible for front reception area including cleanliness, greeting guests and ensuring they sign the guest book (Security measures for building access/Visitor badges) and informing appropriate parties when they have guests waiting for them.
  • Answer phone calls promptly and efficiently
  • Direct incoming calls to appropriate personnel
  • Maintain professional appearance & cleanliness of their work area
  • Order and maintain office supplies for the company
  • Distribute daily mail
  • Calendar management (5 calendars)
  • Assist with tasks as assigned, which may include running errands for the building, etc. and/or events for special meetings.
  • Enhance the Executive Assistants effectiveness by providing information management support.
  • Represent the Executive Assistants and Corporate Executives to others.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics.
  • Conserves the Executive Assistants time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains appointment schedule by planning and scheduling meetings, conferences, and teleconferences.
  • Maintains the Executive Assistants and Executive’s confidence and protects operations by keeping information confidential.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

Requirements

  • Senior Executive Support experience along with 3-5 years of professional experience
  • Proficient in Microsoft Office with an emphasis in Excel and strong proficiency in Outlook, PowerPoint and Word. Excel skills should be intermediate to advanced
  • Ability to compile analytic reports
  • The ideal candidate will be professional, polished, outgoing and positive with a can-do attitude
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Reliable and committed to long-term employment
  • Ability to interface comfortably with all levels of management
  • Must be able to handle confidential matters with the utmost discretion
  • Bilingual preferred but not required
