Order Processing Specialist

The Order Processing Specialist delivers product and service information to customers while providing effective solutions.

Compensation: $17-$20/hour

Responsibilities

  • Receives, analyzes and processes customer orders by checking availability of the product on inventory, in transit or backorder.
  • Provides feedback to customers in a timely manner.
  • Creates sales orders, attains approval and distributes to customer.
  • Files all documentation according to standard operating procedures (SOP) for tracking purposes.
  • Searches, analyzes and quotes ‘Open Market’ in case material is not in stock.
  • Allocates material from forecast provided by customer.
  • Tracks material set on backorders until it arrives.
  • Provides customer feedback on product and service questions; suggesting information about other products and services.
  • Resolves product and/or service problems by clarifying customer’s complaint; determines the cause of the problem; selects and explains the best solution for the best outcome; expedites the correction or adjustment and follows up to ensure satisfactory resolution.
  • Procures supplies and materials by creating Purchase Orders and ensures delivery of the products in a timely manner.
  • Maintains financial historical records by filing accounting documents.
  • Sorts and compiles documents and related information with invoices for both payables and receivables to validate accuracy of costs.
  • Maintains a positive attitude towards all colleagues and supervisors, having a ‘can do’ mentality.

Qualifications

  • Data entry accuracy a must.
  • Able to determine answers and solutions in a timely manner.
  • Special talent for handling unusual temperaments or personalities of customers.
  • Must have strong organizational skills and a high attention to detail.
  • Must have ability to communicate effectively, both verbally and in writing.
  • Must be able to handle and prioritize competing tasks.
  • Customer and quality focused.
  • 1-2 years Customer Service experience preferred.
  • Microsoft Office proficiency required.
  • 1-2 years QuickBooks experience desired.
  • 1 + year experience in Product and Market knowledge desired.
  • High school diploma or equivalent.
