Document Control Administrative Assistant

A specialty chemicals company in East Houston is seeking an Administrate Assistant to join their growing team.

Responsibilities:

  • Administer Site Document Management System (such as Ektron or Documentum)
  • Order office supplies
  • Mail sorting/UPS billings and shipments
  • Order lunches and room setup for meetings
  • Administer and track employee uniforms
  • Help to process forms for small capital projects
  • Track status, approvals and transfer of cost from operations
  • Enter AP goods receipts and prepare AP accrual at months end
  • Perform daily review and corrections of I-Quest badging system (Gate Log)
  • Update contractor hours tracking and vendor prequalification’s for EHS Department
  • Monthly audit of Success Factors, I-Quest and Gensuite to ensure personnel are in the appropriate systems
  • Upload Certificate of Analysis (COA’s) to S/Drive
  • Other duties as assigned by Site Leader/Site Controller

Requirements:

  • 1-3 years of work experience with Document retention retrieval system
  • A background in Office Administration and Manufacturing functions
  • Proficiency with MS applications: Excel, Word
  • Strong mathematical ability
  • SAP experience a strong plus
  • Strong interpersonal skills and a customer service attitude
  • Ability to work independently and be able to solve routine issues with limited supervision
  • Ability to interact effectively with other departments to provide assistance within the plant and also with outside organizations
